When you come into the gallery (including art fair gallery) and place an order for picture framing or purchase artwork we take down your address details onto our Job Worksheet or Art Sales Record sheet. this is done in hard copy form and/or on an Excel data sheet residing on a password protected computer.

We retain all relevant information to allow us to;

  1. Fulfil your order and allow us to deliver it, or to inform you of it’s readiness for collection.
  2. To record the sale of original art. This is to maintain proof of ownership.
  3. To keep a record of your framing orders for later reference. This is helpful for repeat orders, or for the use of same / similar materials required for your future orders.

What we do NOT do is;

We do not take payment details from you as in this instance payment is made over the counter with cash or credit card. Credit and debit car payments are taken electronically via a WorldPay terminal the like of which we are very commonly used in retail and I am sure you will be familiar with. How long do we retain information.

We retain your information for or until;

  • Until you request it is not retained, this must be done in writing by sending email to sean@ottersburngallery.com or by post to Ottersburn Gallery, 2a Nith Avenue, Dumfries DG1 1EF
  • By opting out of our online mailing list. This can be done by sending a request, to sean@ottersburngallery.com or by post to Ottersburn Gallery, 2a Nith Avenue, Dumfries DG1 1EF, or by unsubscribing by using the unsubscribe button included at the foot of our newsletter that you receive by email. In this instance MailChimp automatically deletes your information from our MailChimp database.
  • A transaction made online is complete an delivered. Payment information is automatically deleted from our proccesses.
  • We retain all names and address of purchases of original art, until requested otherwise for the purpose of maintaining historic providence or original artwork.
  • We retain records of your picture framing orders as it is often useful or specifically required for the making of repeat orders, using same materials.

What do we do with data that is retained in hard copy.

Data, on hardcopy is stored in a lockable filing cabinet. data stored on the gallery computer is password protected. The gallery is secured, locked and bared each time we are closed.

What we do NOT do is;

Sell or give away your information to third parties. We do not use your information in any marketing activity other than that which you opted in for.
